TERMS AND CONDITIONS
This agreement is intended to help you understand the legal framework in which you participate on Geoparadise.org, TribalGathering.com, as well as the Tribal Gathering event (the “Event”), and what your rights and responsibilities are.
TribalGathering.com and Geoparadise.org
Eligibility
Acquiring, use of and membership in Geoparadise.org and TribalGathering.com is void where prohibited. By using Geoparadise.org and TribalGathering.com, you represent and warrant that (a) all registration information you submit is truthful and accurate; (b) you will maintain the accuracy of such information; (c) you are 16 years of age or older where required by law; and (d) your use of Geoparadise.org and TribalGathering.com does not violate any applicable law or regulation. Your profile may be deleted and your membership may be terminated without warning, if we believe that you are under 16 years of age, or in violation of any applicable law or regulation.
You are solely responsible for your interactions with other Geoparadise.org and TribalGathering.com members, Event attendees, and Event vendors, as well as for your actions during The Event. Geoparadise.org and TribalGathering.com, and Event organizers reserve the right, but are under no obligation, to monitor disputes between you and other members.
You agree to comply with our site rules, including, specifically, the Geoparadise.org and TribalGathering.com Privacy Policy which is incorporated into this agreement, and with all laws and regulations applicable to your access and use of Geoparadise.org and TribalGathering.com. Unless we explicitly say otherwise, you may not use any automated means (such as scripts) to access Geoparadise.org and TribalGathering.com or collect information from it.
Liability Limits
WE AND OUR SUPPLIERS SHALL NOT BE LIABLE FOR ANY LOST PROFITS OR SPECIAL, INCIDENTAL OR CONSEQUENTIAL DAMAGES (HOWEVER ARISING, INCLUDING NEGLIGENCE) ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF GEOPARADISE.ORG AND TRIBALGATHERING.COM, OUR SERVICES OR THIS AGREEMENT. IN ANY EVENT, BY ACCEPTING THE GEOPARADISE.ORG AND TRIBALGATHERING.COM TERMS OF USE YOU SPECIFICALLY AGREE THAT YOU SHALL INDEMNIFY AND HOLD HARMLESS GEOPARADISE.ORG, TRIBALGATHERING.COM AND EVENT ORGANIZERS FOR ANY MISUSE OF GEOPARADISE.ORG AND TRIBALGATHERING.COM. YOU ALSO SPECIFICALLY AGREE THAT YOU SHALL NOT HOLD GEOPARADISE.ORG, TRIBALGATHERING.COM, OR EVENT ORGANIZERS LIABLE FOR CLAIMS, DEMANDS, OR DAMAGES OF ANY KIND OR NATURE ARISING OUT OF OR IN ANY WAY CONNECTED WITH A DISPUTE WITH ANY OTHER USER OF GEOPARADISE.ORG AND TRIBALGATHERING.COM.
Integration
This Agreement and our Privacy Policy incorporated by reference constitute the entire agreement, and supersede any other agreements or understandings (oral or written), between you and us with respect to their subject matters. We can amend this agreement either by emailing you about the amended terms, which take effect when we send you the email, or by displaying amended terms to you when you log in to Geoparadise.org and TribalGathering.com or upload on website even if you`re not logged in, which take effect when we post them. Otherwise, this agreement may be amended only by a writing physically signed by both you and us.
General
GEOPARADISE.ORG AND TRIBALGATHERING.COM, and EVENT ORGANIZERS' SERVICES ARE PROVIDED "AS IS." We do not promise or warrant that any aspect of the site or system will work properly or will be continuously available. This agreement does not create any agency, partnership, joint venture, employment or franchise relationship. Vendors and other service providers are not employees; therefore, minimum wage laws do not apply to their relationship with Geoparadise.org and TribalGathering.com, or Event organizers. Any unenforceable portion of this agreement shall be enforced to the maximum extent possible and the remaining portions shall be given full effect. Our failure to act in a particular circumstance does not waive our right to act with respect to that or other circumstances. We shall be excused for any problem due to a factor beyond our control. Our suppliers are third-party beneficiaries of this agreement.
Volunteers Application Forms
Tribalgathering.com includes applications submission forms for volunteers who want to help out during Tribal Gathering preparations and during the Event itself, as well as a form for those who want to offer a talk, presentation, workshop or other activity in line with the event's theme and GeoParadise’ charitable purpose of indigenous outreach and poverty relief.
Volunteers will be provided with dedicated agreements to sign, establishing the terms and conditions that apply specifically to them including, but not limited to, dates to setup and packdown, transportation, meals and stipend arrangements, rewards earned per shift worked, etc.
Crowd-funding campaigns
We use the 3rd party platform donorbox.org to run our crowdfunding campaigns for charitable programs. In our websites www.geoparadise.org and www.tribalgathering.com you can find information, links and embedded widgets for these campaigns. Refer to donorbox.org terms and conditions for more information on their policies.
Geostore.tribalgathering.com
The official Tribal Gathering Store of GeoParadise is hosted at geostore.tribalgathering.com. In this ecommerce website, you can purchase Tribal Gathering passes (Event registrations), shuttles, other Event add-on services (camping accommodation, safe storage and device charging), wooden reusable tableware and merchandise products.
You can also send volunteer donations of funds to Geoparadise as a whole or to specific charitable projects that the charity is undertaking.
TRIBAL GATHERING EVENT
Refund, Changes and Cancellation Policy
REFUNDS: Event registrations, shuttle tickets and add-on services (camping accommodation, safe storage and device charging) are refundable in the form of an equivalent value Discount Voucher. This voucher/credit can be redeemed at geostore.tribalgathering.com. Event organizer reserves the right to set an expiration date to these vouchers.
Donations and processing fees are not refundable.
If you wish to apply for a Voucher refund, you can do so using the contact form on www.tribalgathering.com. In certain cases, a cash refund can be approved. If you need a cash refund and cannot accept a voucher refund, send us a message using the contact form on our website detailing your specific circumstances and we will consider your case.
PLEASE NOTE: Cash refunds requests will not be processed by our team in the months of February to April 2025 due to the excess of workload associated with preparing, running and packing down an international event like Tribal Gathering with extraordinarily complex and time consuming logistics. We would greatly appreciate it if attendees can accept the voucher refund instead. We will resume refund requests processing in May 2025. Thanks for your patience and understanding.
For event passes acquired through the Panama ticketing companies (mieventos.com and passline.com), the refund should be requested directly to the platforms and their own terms and conditions will apply in these cases.
CHANGES: Due to the numerous cases of fraud that we suffered in the past in connection with the ticket transfer feature, transferring the tickets to another person is not permitted until we have developed a more robust workflow to handle them safely.
Upgrading a registration to a full pass or changing the shuttle date and time is possible if done following the instructions set forth herein:
Bookings made at geostore.tribalgathering.com: The request must be submitted using the contact form at www.tribalgathering.com from the same email address used for the event/shuttle registration or service purchase. The registrations or shuttle coordinator will get back to you with instructions.
Bookings made through third party platforms:
For event passes acquired through the Panama ticketing companies (mieventos.com and passline.com), refer to their own terms and conditions that will apply in these cases.
CANCELLATION: In the unlikely event of TOTAL cancellation of Tribal Gathering, due to a major unsolvable issue out of the control of the organizers, the face value minus the handling fee will be refunded. No refunds will be given without proof of registration and payment.
AIRPORT SHUTTLE POLICY
Limitations of Liability
The Airport Shuttle and its affiliates will not be responsible for delays caused by weather, road, or traffic conditions; mechanical failure; or any other conditions beyond our control. Any expenses arising as a result of delayed departure or arrival times, including missed flights or travel connections, are the sole responsibility of the passenger. Please consider that each transportation service requires travelers to be in advance at the meeting point with at least 30 minutes prior departure. The meeting point is in Terminal 1 in the area of the rental car depots are located. The bus will pick passengers up in front of nearby door P4.
Payments
The airport Shuttle services require prepayment with a credit card or paypal. Your credit card will be charged for the full amount at the time you make your reservation. You may book departure shuttles at the event with your bracelet credit.
Refund Policy
Due to the fact that there is only a short time ahead of event start when these bookings are open, unfortunately, we are unable to offer cash refunds on the shuttle services. Prepaid reservations cannot be canceled but the passenger has the ability to change it to a different day/time or get a voucher refund to use in our store for other services or future events. See section above for instructions on how to do so.
Passenger Safety
The safety of our passengers is our highest priority. In order to maintain a safe and comfortable driving environment, our drivers have the right to deny or de-board any person who, in the driver's judgment, is unruly, disruptive or poses a threat to the safety of the vehicle or anyone on board. Passengers are covered by the vehicle's insurance provider.
Lost Items
Passengers are responsible for their personal possessions. We try our best to return items left in our vehicles to their owners, but we assume no liability for lost, stolen, damaged or misplaced items. Any charges incurred in returning a left-behind item to its owner must be paid for by the owner. Please, let the driver organize the luggage stored in the vehicle's designated spaces to make sure it is properly secured and safe.
Many bags look alike. Our drivers cannot be responsible for remembering which bags belong to each passenger. Upon reaching your destination, please check to see that you have retrieved all your belongings, and that each bag, briefcase, computer, etc. is, indeed, yours.
CAMPING ACCOMMODATION SERVICE POLICY
By reserving or making use of Tribal Gathering’s camping rental service, you agree to the following:
Camping is included with the price of the ticket. You may camp on site 8 - 25 March only, with no exceptions. Those with passes other than the full pass can only camp onsite the same days that their passes are valid for.
Attendees may rent a tent and other camping equipment from Tribal Gathering for usage during the event.
To guarantee reservation, tent rentals must be prepaid and booked in advance at geostore.tribalgathering.com. The event and its affiliates are not responsible for any lost or stolen property, nor for any damage to personal property, whether due to force majeure or otherwise, within the camping area.
-LEAVE A POSITIVE TRACE-
Please, pack with a plan to minimize waste. Reduce what you bring. Reuse as much as possible by bringing refillable water bottles, coffee mugs, and even silverware or plates you can carry with you to use and wash. Tribal Gathering does not provide free cups, plates or cutlery at the restaurants or bars, participants must bring their own or buy them onsite. These are inexpensive and you can take them home with you.
Composting, and trash stations will be available. Please, have a system for sorting at your campsite, pay close attention to the stations, and participate in leaving the campground better than we found it. Pack your camping equipment at the end of the event, please, and if it is a rental, return it to the Hub designated window before you leave.
SECURE STORAGE SERVICE POLICY
Secure storage service users agree to the following:
This agreement does not constitute an acknowledgment, consent, recognition, admission, or acceptance of value of any property stored at Tribal Gathering.
Storage service has limited hours of operation. Retrieval of stored property shall only be made during posted hours.
To guarantee a space in the storage service, rental must be booked and paid for in advance via the online booking service. Payment can be made through paypal or with a credit card. Limited rentals will be available on site on a first come first served basis.
Tribal Gathering assumes no liability whatsoever for items such as (but not limited to), telephones, wallets, jewels, cameras, computers, iPads, computer tablets, antiques, art objects, car & house keys, weapons, medicine, documents, perishable goods, live plants or animals, loss of cash, nor incidental or consequential losses. Customer understands and agrees that customer is renting a specific space only within the storage room and possesses the ability to access the belongings only during operational hours if unlimited service has been paid for. The storage of weapons, welding equipment, flammable, explosive, or any other inherently dangerous material is strictly prohibited. If possession of any item is illegal, storage of that item is prohibited. No items shall be stored in violation of any order or requirement imposed by any governmental agency or in violation of any law.
All items left for storage are subject to visual or hand examination by Tribal Gathering staff and/or law enforcement officials at any time and without prior notice. Items left behind will be donated to local charitable causes.
CHARGING STATION SERVICE POLICY
By using the Tribal Gathering charging station service, you are agreeing to abide by the following terms and conditions:
Tribal Gathering and its affiliates will not accept any liability for lost, damaged or stolen items caused by using the charging service.
Tribal Gathering will not provide charging cables you must provide your own
Patrons must be present when devices are retrieved. Absolutely no service or retrieval is available outside of operational hours. Items must be dropped off and picked up within the operational hours of "The Hub"
TRIBAL GATHERING EVENT TERMS AND CONDITIONS:
Tribal Gathering Admission Policy
By acceptance and use of a Tribal Gathering (the “Event”) pass or ticket purchased at geostore.tribalgathering.com or by the aforementioned platforms such as mieventos.com and/or passline.com, the user agrees that:
Holder voluntarily assumes all risk of property loss and personal injury arising from the Event, whether occurring before, during, or after the Event. Your pass or ticket is admission to the Event and you may be refused admittance for any reason at the discretion of the staff of Tribal Gathering. Holder also waives any and all claims against Tribal Gathering, Geoparadise, Inc. and its agents related to the Event, including Ocean Lake, Inc.
The following items are prohibited: anything flammable, weapons, anything able to obstruct law enforcement, items capable of concealing the holder's identity, and anything capable of causing serious injury. All holder belongings are subject to search and seizure at the discretion of Tribal Gathering staff.
Passes and tickets are valid only for the Event for which they are issued. A pass or ticket is not transferable or redeemable for any cash value. However, a pass or ticket may be exchanged for another product, service or donation to the event or Geoparadise, Inc. Additionally, passes or tickets may be transferred for a future Event but for the same individual who purchased it only. Reproduction of any pass or ticket is prohibited. Holder bears all risks of inclement weather. Unauthorized, unlawful, or attempted resale through any means may be grounds for relinquishing of pass and tickets.
Tribal Gathering and its designees reserve the right to refuse admission or to eject any person for any reason, including any person who fails to comply with the rules of the venue, applicable laws, and any other behavior deemed contrary to public safety or the security of the Event. No refunds shall be issued to any attendee removed pursuant to this section.
Holder consents to use of his or her image, voice, or likeness (and that of any accompanying minor) incidental to any audio or video display, transmission, photography or recording of the Event.
Tribal Gathering Event Terms and Conditions
I.
This registration is for the event Tribal Gathering and not for one specific artist, performance, or program activity. Although the organizers will always endeavor to present the bill as advertised the line up of artists and program of activities cannot be guaranteed. Cancellations do sometimes happen due to illness or other reasons beyond control.
Published times may also be affected and performances and programs cannot be guaranteed to finish exactly on time. Should one or more artists be canceled the Event will go ahead as normal.
Attendees with a full pass may enter the Event grounds beginning at 4:00 PM local time on Saturday March 8th, 2025 and must leave the Event by 2:00 PM local time on Tuesday October 25th, 2025. For other types of passes, other than the full pass, the attendee may enter the event only the days the pass is valid for. Refer to the pass description for its specific information.
You use the car park/parking lots at your own risk and enter the Event site at your own risk.
You consent to filming and sound recording as a member of the audience.
Tribal Gathering is a family-friendly Event but children are under parents’ exclusive responsibilities for the duration of the event. Tribal Gathering will not provide childcare during the Event. Minors must be accompanied by a responsible person over the age of 18 at all times.
II.
Geoparadise, Inc. and Ocean Lake, Inc. strive to offer a variety of top-quality third-party vendors to Event attendees, including alternative medicine. Tribal Gathering is a fully licensed event. However, neither Geoparadise, Inc, nor Ocean Lake, Inc., nor any respective agents and assigns shall be held liable for the actions of said third-party vendors. Said vendors assume full responsibility and assume all liabilities arising from their commercial activity while on Event grounds, including lacking any licensure required to perform said commercial activity in the Republic of Panama. Vendors, except for blanket vendors, are not permitted to accept cash for their services/products, they must use the Village Plata tokens to pay for their purchases, so a % of the purchase price goes to the Indigenous Fund for future charitable projects with the guest tribes
Vendors and wellness practitioners will be provided with dedicated agreements for them to sign, establishing the terms and conditions that apply specifically to them as event third party vendors, including, but not limited to, the fees they need to pay, dates to setup and packdown, deposits, disbursement terms, etc.
Attendees are strictly prohibited from engaging in any unauthorized commercial activity while at the Event site. Anyone found engaging in such activity will be removed from the Event without refund. Attendees are also prohibited from offering cash to non-blanket vendors and must report to the Hub if they see someone doing it.
Attendees may not bring outside food or drink to the Event. Any outside food or drink will be confiscated and donated to the tribal kitchen that feeds the indigenous guests during the event . Repeated violations of the foregoing policy may result in removal from the Event.
III.
In an effort to maintain a safe and peaceful experience, all persons attending the Event may be subject to security searches. Bags/possessions may also be subject to search upon entering the Event.
Attendees will abide by all applicable Panama laws, especially those regarding age limitations on the use of tobacco & alcohol.
Please, leave your animals at home.
No weapons.
No glass.
Fireworks and pyrotechnics are strictly prohibited.
Event organizers reserve the right to refuse admission to the Event without any refund.
Event organizers reserve the right to alter or change the program.
Event organizers accept no responsibility for lost, damaged or stolen property and/or personal items.
Attendees should be aware of all risks involved; consideration should be given to excessive exposure to sustained high noise levels. Ear protective devices are strongly recommended within the music areas, especially for children.
The Event registration may not be re-sold Be aware of possible forgeries and only purchase Event registrations from the www.tribalgathering.com website.
Your Event registration confirmation email/badge should be printed and brought to the Event along with a valid form of identification (passport or cedula for Panama citizens). Checks will be in place at point of entry to verify the printed information matches with our records and the attendee's identity.
Any information displayed on the webpage, on the Event website or in the program is for informational purposes only and may be subject to change.
By acquiring a ticket, providing your signature, initials, checking the box in lieu of a signature or proceeding to checkout for the online purchase of any of our services at geostore.tribalgathering.com, Donorbox.org (crowd-funding campaigns), mieventos.com or passline.com you certify and represent that you understand and agree to the foregoing. Failure to sign or otherwise indicate your assent to the foregoing will result in denied admission to Tribal Gathering.
